The Store Facilities Coordinator assists the corporate Store Facilities team in managing all American Freight locations in all states. Primary functions of this role include managing service tickets in the Computerized Maintenance Management System (CMMS) (Web based) platform. Mining service requests for updates, follow up and any detail required to drive swift repair completions. The role will be focused on providing excellent customer service to provider partners as well as internal corporate associates. The ideal candidate will be proficient in Microsoft Office and be able to produce reports and corporate level presentations. This role is based out of our corporate office in Delaware, OH. Prior experience in either retail or facilities is preferred.
Job Duties/Responsibilities:
Responsible for managing and directing field contractors or subcontractors to ensure store upkeep. Works with stores and field contractors to resolve issues in a timely manner.
Responds to escalated client inquiries and concerns. Ensure timely and quality service delivery to clients. Follow up with clients to ensure customer satisfaction.
Oversees and approves the bid process for maintenance proposals, ensures that cost estimates are appropriate to the scope and meet the individual store team’s needs.
Cooperate and coordinate all activities with entire FM team.
Manages vendors on a daily basis; identifies training and tracks performance to KPI’s, effectively communicates with stakeholders in timely manner.
Train vendors on work order and billing procedures. Process invoices and ensure accurate cost center coding.
We provide reports on open and closed assignments, check status with the appropriate technician or vendor, and maintain files on work orders, proposals, and department files.
Responds to store associates via email and CMMS system, driving resolution to their facilities needs.
Work with provider partners to ensure timely service through follow up and training.
Process invoices, proposals and analyze the data to show trends.
Other duties as assigned.
Required Skills:
Ability to manage multiple priorities simultaneously.
Strong computer skills with Microsoft Office, Outlook, and preferred work order system
Strong communication and customer service skills.
Attention to detail and willingness to provide good customer service to Store Associates.
Retail experience working in stores or support role.
Experience analyzing problems for decision making.
Experience with trade work or construction.
