Friendship Senior Options is currently hiring for a full time Marketing Coordinator position at its GreenFields Geneva location. The FSO Marketing Coordinator will provide administrative support to the staff and assist in carrying out marketing and promotional activities as needed.
Responsibilities include:
Greets clients pleasantly and professionally either on the telephone or in person, always presenting a positive image for the community. Provide hospitality to all guests in the sales office. First impressions start here.
Generate interest from new leads (by phone or in person), conduct initial discovery, qualify their interest in the community, and follow with a seamless, warm transfer to a sales counselor upon qualification.
Make phone-outs, email-outs, and mail-outs to prospective residents daily (new leads as well as dated leads), with goal of setting appointments for sales team. Goals will be quantified per month/quarter, based upon sales needs at the time.
Responsible for oversight and management of lead assignment for Residency Counselors. Will direct and assign sales leads by properly utilizing the CRM/Ups system to ensure fair distribution.
Coordinate re-engagement marketing, creative follow ups and other interaction efforts to generate additional interest, including, but not limited to: phone calls, mailings, emails, surveys, etc.
Manage obtained information relating to the prospective resident/inquiry, including but not limited to: documentation of the inquiry/re-inquiry in the CRM, as well as other interactions and transactions throughout the sales process.
Conduct new resident closings and prepare closing paperwork (contracts, move-in documents, etc.)
Assist new residents with moving process. Work with senior move manager partner to coordinate new resident’s move and all aspects that center around move (moving coordination services, packing/unpacking, organizing, etc.)
Work with new resident to ensure a smooth transition to the community after the closing. Follow guidelines established for this to occur, so the handoff to operations is as seamless as possible.
Assist sales team with creative follow ups by sharing/discussing ideas and implementing tactics
Manage sales office needs, including but not limited to office supply inventory, arranging ambassador tours, and mailing brochures/personal notes
Assist Coordinator of Community Relations with logistical needs for sales/marketing events (set-up, ordering meals, reserving rooms, etc.), such as lead generation events and conversion events
Give brief tours to prospective residents/family members as needed
Maintain regular and punctual attendance at work and meetings.
Performs administrative support functions, including answering the telephone and directing calls appropriately handling correspondence, typing letters, memos and reports, filing, copy work, and other clerical duties as required.
Maintains strict confidentiality of information
Performs other duties as assigned
Requirements:
A minimum of a two year college degree required or significant related experience.
Significant experience in providing administrative support in fast paced office environment
Detail orientated, self-starter with excellent interpersonal, organizational and communication skills
Computer literate with extensive experience in word processing, spreadsheet programs and CRM systems
